At Hometown Pediatrics, our policies are designed to help our office run smoothly so we can focus on what matters most — caring for your child.
As a pediatric-only practice, we are committed to clear communication, respect for your time, and providing high-quality, preventive care in a welcoming and efficient environment. Below, you’ll find important information about our office guidelines and procedures. If you have any questions, we’re always happy to help.

Well Child Visit Policy
At Hometown Pediatrics, we believe children thrive when they receive comprehensive, preventive pediatric care. Routine well-child visits are essential for monitoring growth, development, nutrition, safety, and overall health.
All established patients are expected to participate in age-appropriate well-child visits, regardless of vaccination decisions. Our practice is designed around preventive care and does not function as a sick-only or urgent-care-only model.
Families who choose not to participate in routine well-child care may be asked to establish care with a provider whose practice model better aligns with their preferences.
We are always happy to discuss our approach to ensure our practice is the right fit for your family.
Vaccine Policy
At Hometown Pediatrics, we strongly believe in the safety and effectiveness of vaccines.
We follow the immunization schedule recommended by the American Academy of Pediatrics (AAP). Vaccination is one of the most important ways we protect children from serious illness and preventable disease.
We recommend that children receive vaccines according to the standard schedule. Delaying or separating vaccines is not consistent with current medical guidelines and may leave children vulnerable to preventable illness.
If families choose to decline recommended vaccines, we require a signed vaccine refusal acknowledgment form. We are always happy to answer questions and discuss concerns in a respectful, evidence-based manner.
Our goal is to partner with families to keep children healthy and safe.
Preventative Screenings & Visit Billing
During well-child visits, we perform routine health screenings recommended by the American Academy of Pediatrics (AAP) and the Bright Futures Guidelines. These screenings are considered standard of care and are an important part of maintaining your child’s health.
Most insurance plans cover preventive screenings. However, coverage and cost-sharing vary by plan. Some services may be applied toward your deductible, coinsurance, or may not be fully covered.
If concerns arise during a well visit that require additional evaluation, treatment, or management (for example, diagnosing and treating an ear infection during a routine exam), insurance companies require us to bill those services separately from the preventive visit.
While many plans cover these additional services, some apply cost-sharing according to your individual policy.
We are committed to providing comprehensive, high-quality care for your child. Because insurance coverage varies widely, it is the responsibility of the parent/guardian to understand the details of their individual insurance plan, including covered services and cost-sharing requirements.
If you have questions about coverage, we encourage you to contact your insurance carrier directly.
Antibiotic Policy
At Hometown Pediatrics, we are committed to evidence-based prescribing and responsible antibiotic use.
Many childhood illnesses are caused by viruses and do not require antibiotics. In these cases, antibiotics will not improve symptoms and may expose children to unnecessary side effects.
Antibiotics are prescribed only when a bacterial infection is diagnosed or strongly suspected based on a thorough medical evaluation.
To ensure appropriate care, antibiotics are not prescribed over the phone without an assessment, except in limited circumstances where clinical guidelines support it.
Our goal is to provide safe, effective treatment while helping prevent antibiotic resistance and protect your child’s long-term health.
We are always happy to explain our recommendations and answer questions during your child’s visit.
Prescription Refill Policy
Prescription refill requests may be submitted in one of the following ways:
1) Through your patient portal (preferred method, available 24/7)
2) By calling our office during regular business hours and leaving a detailed message
Please allow 24–48 business hours for routine refill processing. Requests submitted after hours, on weekends, or on holidays will be processed during the next business day.
To avoid delays:
Please request refills before your child runs out of medication.
Ensure your child is up to date on required follow-up visits.
If your child is experiencing a medical emergency, please call 911 or go to the nearest emergency department.
Late & Missed Appointments
To allow time for check-in, insurance verification, and co-pay collection, we ask that patients arrive 10 minutes before their scheduled appointment time.
Late Arrivals
If you arrive more than 10 minutes after your scheduled appointment time, you may be asked to reschedule. This helps us remain on schedule and respectful of other families’ time.
Cancellations
If you need to cancel or reschedule, please notify us at least one full business day in advance.
Missed Appointments / No-Shows
Appointments not canceled in advance will be subject to a $50 no-show fee, which helps offset the cost of the unused appointment time.
Repeated late arrivals or missed appointments may result in dismissal from the practice.
Forms and Paperwork Policy
We are happy to complete up to two forms at no charge when they are brought to your child's scheduled well visit.
Forms submitted outside of a well visit will incur a $10 completion fee. Please allow up to 5 business days for processing. Expedited ("rush") completion may be available for an additional fee.
To complete any forms, your child must be up to date on their well visits (within the past 12 months for older children, or at the appropriate interval based on age).
Separated Family Policy
Divorce, separation, and custody arrangements should not interfere with a child’s medical care.
Hometown Pediatrics is not a party to custody agreements. The parent or guardian who presents with the child for a visit is responsible for payment of all co-pays, deductibles, and charges associated with that visit.
Unless otherwise directed by a valid court order provided to our office, we will:
- Provide equal access to medical records to parents with legal custody.
- Discuss medical findings and treatment plans with the parent or guardian present at the appointment.
- Not contact the non-present parent for consent prior to routine treatment.
It is the responsibility of parents or guardians to communicate with each other regarding the child’s care.
If a court order limits parental rights or access to medical information, a copy must be provided to our office and will be maintained in the child’s medical record. We will comply with court orders once documentation is received.
If conflicts between parents become disruptive to the operation of the practice or interfere with a child’s care, Hometown Pediatrics reserves the right to discharge the family from the practice.
Newborn Insurance and Coverage Policy
Congratulations on your newest addition — we’re honored to care for your baby!
Many insurance plans do not automatically add newborns to an existing policy at birth. While some plans provide temporary coverage (often 30–31 days), parents are responsible for formally adding their baby to their insurance plan.
To avoid delays in care or billing issues, please:
• Contact your employer’s Human Resources department or your insurance carrier as soon as possible after delivery.
• Confirm the deadline for adding your baby to your policy.
• List Hometown Pediatrics as your child’s Primary Care Provider (PCP), if required by your plan.
We will temporarily hold newborn visit claims while your baby is being added to your insurance. Once coverage becomes active, we will submit claims for processing.
If active insurance coverage has not been established within 30 days of birth, future routine visits may need to be rescheduled until coverage is confirmed.
If coverage is not obtained within your plan’s required timeframe, the balance for visits may become the financial responsibility of the parent/guardian.

Technology and Communication Policy
Hometown Pediatrics utilizes technology to improve communication and efficiency for our families.
Patient Portal
We encourage all families to register for and use our secure patient portal for non-urgent communication, refill requests, and accessing medical information.
Portal messages are reviewed during regular business hours only. Please allow up to 1–2 business days for a response. The patient portal should not be used for urgent or emergent medical concerns.
If your child is experiencing a medical emergency, call 911 or go to the nearest emergency department.
Email & Text Communication
Automated reminders may be sent for appointments and preventive care. It is the responsibility of the parent/guardian to ensure contact information is current.
Standard email is not a secure method of medical communication and should not be used to discuss sensitive medical information.
Social Media
For patient privacy and confidentiality, we do not discuss individual medical concerns through social media platforms.
Recording Visits
To protect patient privacy and maintain a professional environment, audio or video recording of visits is not permitted without prior consent from the provider.
Non-Discrimination Policy
Hometown Pediatrics complies with all applicable federal and state civil rights laws and does not discriminate on the basis of race, color, national origin, age, disability, sex, sexual orientation, gender identity, religion, marital status, citizenship status, veteran status, or any other status protected by law.
We provide care and services in a respectful and inclusive environment. Acts of discrimination, harassment, or inappropriate behavior toward patients, families, or staff will not be tolerated.
If you believe you have been subjected to discrimination, please contact our office so we may address your concerns promptly.
